Metis Solutions Limited (Metis, we, us or our) owns the metis.nz website and operates the Metis suite of AI-powered assistive technology products. In believing 'Our story is our own', we respect your right to privacy and are committed to protecting your personal information. We comply with the New Zealand Privacy Act 2020 and, where applicable, we seek to align our privacy practices with the General Data Protection Regulation (GDPR) and the UK Data Protection Act 2018.
This Policy explains how we collect, hold, use, disclose and protect your personal information. It should be read alongside our Website General Terms and Conditions and any applicable Product Terms. Where our products involve the Metis Knowledge Base (MKB), our Copyright and Intellectual Property Policy also applies.
Personal Information We Collect
We collect personal information about you when you provide it to us directly, including via the website, through any registration or subscription process, through any contact with us or when you buy or use our services. We may also collect information from authorised third parties or where it is publicly available.
The personal information we collect includes:
- Your name and contact information, including email address and phone number
- Neurotype, which is sensitive personal information (a form of health information) collected with your consent to provide personalised AI-powered outcomes. Providing neurotype information is voluntary, but doing so can meaningfully improve the quality and relevance of the outcomes a Metis app provides. Neurotype data is stored securely and handled with appropriate technical safeguards
- Payment information
- IP address and location
Your neurotype and other personal information is stored in your user profile and used by Metis apps to personalise your experience. This information is not added to the Metis Knowledge Base, which contains only general evidence and research summaries, not individual user data.
How We Use Your Personal Information
We use your personal information to:
- Verify your identity and provide our services and products to you
- Improve the services and products we provide
- Market our services and products to you, including by electronic means
- Bill you and process payments
- Respond to communications from you, including complaints
- Conduct research and statistical analysis on an anonymised basis
- Protect and enforce our legal rights and interests
- For any other purpose authorised by you or the Privacy Act 2020
Disclosing Your Personal Information
We may disclose your personal information to:
- Third-party service providers necessary to operate the business (such as Stripe for payment processing), who are contractually bound to handle your information with appropriate security measures
- AI service providers who process your requests within Metis apps, under agreements that prohibit use of your data for model training. AI systems used to create MKB content do not have access to your personal information
- Other third parties for anonymised statistical purposes
- Any person authorised by the Privacy Act 2020 or another applicable law
- Any other person authorised by you
We may transfer your information in the case of a sale, merger, consolidation, liquidation, reorganisation or acquisition.
The Metis Knowledge Base and Your Privacy
The MKB is our proprietary content library containing research summaries, evidence syntheses and structured knowledge derived from academic publications, government reports, practitioner resources and anonymised community knowledge. It is the evidence foundation for all Metis apps.
The MKB does not contain your personal information. Your personal data is processed separately within Metis apps and is not stored in or added to the MKB. The MKB cannot identify you or track your usage. When a Metis app uses MKB content to personalise your experience, that matching happens within the app, not within the MKB itself.
When we include community or lived experience insights in the MKB, identifying information is removed, themes are aggregated rather than attributed to individuals, and direct quotations are not used without explicit consent. Full operational safeguards are set out in the MKB Governance Framework.
Protecting Your Personal Information
We will take reasonable steps to keep your personal information safe from loss, unauthorised activity or other misuse. While we take reasonable steps to maintain secure internet connections, if you provide personal information over the internet, the provision of that information is at your own risk.
Cookies and Tracking Technologies
We use cookies and similar tracking technologies to collect information, track activity on our website and products and hold certain data. We use this data to analyse website usage, improve your experience and remember your preferences. You can instruct your browser to refuse all cookies, but some features of our website or products may not function correctly if you do so.
How Long We Store Personal Information
Personal information, including neurotype data, will be retained for as long as you maintain an active account or as needed to fulfil your purchase. It will be deleted within 12 months of account inactivity unless retention is required by law.
Children’s Privacy
Our website and services are not directed at children under the age of 16. We do not knowingly collect personal information from children under 16. If you believe a child has provided us with personal information without your consent, please contact our privacy officer at privacy@metis.nz and we will take reasonable steps to delete that information.
Opting Out of Marketing
You can opt out of marketing emails at any time by clicking 'unsubscribe' at the bottom of any marketing email.
International Users and GDPR
For users in the European Union, where applicable, we seek to align our privacy practices with the General Data Protection Regulation (GDPR). For users in the United Kingdom, where applicable, we seek to align our privacy practices with the GDPR as enshrined in the Data Protection Act 2018. We have not appointed a Data Protection Officer as we do not fall within the categories of controllers and processors required to do so under Article 37 of the GDPR.
Complaints
If you have any complaints about how we process your personal information, please contact our privacy officer at privacy@metis.nz in the first instance. You also have the right to lodge a complaint with the New Zealand Office of the Privacy Commissioner or, where applicable, your local data protection supervisory authority.
Accessing and Correcting Your Personal Information
Subject to certain grounds for refusal under the Privacy Act 2020, you have the right to access your personal information that we hold and to request a correction. To exercise either right, email our privacy officer at privacy@metis.nz with evidence of your identity and details of your request. We may charge reasonable costs for providing copies of your personal information.
Policy Administration & Review
This Policy is maintained by our privacy officer and reviewed at least annually. We may update it by uploading a revised version to our website, with changes applying from the date of upload.
